Prepare the RFQ

Campaign fit

Choose Drinkware by Campaign and Recipient

Promotional cups for a one-day event solve a different problem from a client gift that will sit on a desk for years. Start with how the item will be used, then decide what level of finish and packaging the audience will notice.

Events, Schools and Sports

Lightweight aluminum or plastic bottles are easier to scale for large distributions. Prioritize drinking function, logo visibility, carton efficiency and a realistic replacement allowance.

Employees, Clients and VIPs

Insulated tumblers, travel mugs and gift sets can carry more perceived value. Put more attention into coating, lid feel, logo durability and presentation.

Materials and construction

Verify What the Cup Is Actually Made From

Material names on a quotation are not enough. For stainless steel, request a mill certificate tied to the production batch and use third-party composition testing when the steel grade matters. Food-contact reports and steel-grade evidence answer different questions.

Stainless Steel

Check the claimed grade, insulation construction, lid system and coating. An FDA or LFGB migration report for one sample does not by itself prove a 201, 304 or 316 steel grade.

Plastic and Aluminum

Confirm every food-contact part, including the body, lid, straw and seals. Surface treatment and curvature determine whether a print survives real handling.

Ceramic and Enamel

Review the glaze or enamel surface, rim, print area and protective packing. Any food-contact test must match the actual material and decorated sample.

Mixed-Material Mugs

Bamboo or cork finishes change the usable branding area and packing needs. Confirm what is decorative, what contacts the beverage and how each part is assembled.

Decoration methods

Logo Printing and Decoration Methods

Custom tumblers with logo artwork should be sampled on the final coating, not approved from a digital mockup alone. The right method depends on the material, surface curve, color count and expected wear.

See our guide to logo printing methods for drinkware

Laser Engraving

A durable option for many stainless steel surfaces. Confirm the exposed color, engraving size and consistency on coated products.

Screen and Pad Printing

Often practical for clear, cost-conscious logos. Ink, pretreatment, curing and the surface finish all affect adhesion.

High-Temperature Decal

Commonly considered for ceramic when better wash durability is required. The fired result still needs approval on the actual mug.

UV and Transfer Printing

Useful for color-rich graphics, but smooth surfaces can scratch without correct pretreatment and curing. Large wraps may show edge or seam variation.

Order planning

MOQ and Indicative Cost Drivers

These are SourcingXpro working ranges for early budgeting, not fixed offers. The final quote changes with capacity, wall construction, lid, coating, logo process, packaging, production season and destination.

Format Common logo MOQ Possible lower-MOQ route What changes the threshold
Stainless steel cup or bottle Usually about 1,000 pieces Some stock colors may be coordinated at about 100-500 Color, lid, coating, logo method and packing
Ceramic mug Usually about 1,000 pieces Some stock styles or colors may be about 200-500 Shape, glaze, decoration and protective packing
Aluminum bottle Custom production often about 3,000 pieces Stock-body logo programs may be about 500-1,000 Body production, color and setup cost
Plastic sports bottle Custom production often about 3,000 pieces Check current stock styles case by case Molding or blowing setup, color and lid
Enamel and specialty drinkware Confirm by model and supplier Depends on current stock and decoration Base product, artwork coverage and packing
Entry: about US$1-3 EXW

Typical early range for aluminum bottles and simple single-wall plastic sports bottles.

Mid: about US$4-8 EXW

Typical early range for 304 stainless vacuum drinkware and some double-wall glass formats.

Premium: about US$12-30 EXW

Typical early range for titanium drinkware or higher-end ceramic office sets.

All three bands are indicative experience only. A 500, 1,000 or 3,000-piece program must be requoted to the exact specification. For a broader explanation, see our promotional product MOQ guide.

Approval workflow

Samples, Proof and Production Timeline

A digital proof confirms logo size, position, direction and Pantone reference. A pre-production sample normally takes about 7-10 days and should be checked for color match, print edges, actual finish and overall appearance before mass production.

Typical mass production is about 25-30 days after approval and material readiness. Special colors or custom lids may add about 10 days. For Q4 programs, booking production at least 60 days ahead is a safer starting point. Packaging approval, factory load and final specifications can still change the schedule.

Document checks

Food-Contact Documents and Market Requirements

Documents must match the exact product, material, food-contact part, sample and destination market. One supplier report should never be treated as proof for every cup in a catalog.

Material Evidence

For stainless steel, request the mill certificate and batch traceability. Use third-party composition testing when the claimed grade is commercially important.

Food-Contact Testing

Check the applicant, sample name, material, test items, standard, date and scope on any FDA- or LFGB-related report.

Plastic Components

Review BPA-related declarations and test scope for the body, lid, straw, seals and other relevant contact parts.

Defined Inspection Scope

Insulation duration and actual capacity are not assumed in every inspection. Add them when the product specification and buyer requirements call for them.

Presentation and consolidation

Custom Packaging, Gift Sets and Kitting

A good drinkware program is quoted as a packed product, not just a cup. White boxes, color boxes, rigid gift boxes, EVA inserts and multi-item kits each affect MOQ, unit cost, assembly time, carton size and volumetric freight.

Protective Packing

Match inner protection to glass, ceramic, enamel, lids and coated surfaces. Confirm the packed-product drop risk, not just the empty box.

Gift Box and EVA Insert

Use when presentation matters or several components must stay aligned. Recalculate the final carton dimensions before claiming any freight saving.

Coffee or Office Sets

Combine drinkware with coffee, notebooks or accessories when the recipient experience justifies the extra assembly and compliance work.

Multi-Supplier Kitting

Coordinate incoming components, count, appearance, assembly sequence and final inspection at one consolidation point.

Landed delivery planning

Shipping Custom Drinkware from China

Large, non-urgent programs can often evaluate sea freight or sea DDP to manage landed cost. Air freight is more suitable for smaller or urgent shipments, but the choice depends on chargeable weight, destination and required arrival date.

Build the schedule from the approved sample and production booking, then add packaging, inspection and transport buffers. The 25-30 day production range is not a door-to-door promise; route-specific transit time should be confirmed only after the final carton count, dimensions and destination are known.

Frequently asked questions

Custom Promotional Drinkware FAQ

Short answers to the commercial questions buyers usually need resolved before sampling or quotation.

What is the usual MOQ for custom promotional drinkware?

As a working guide, stainless steel and ceramic logo orders are often about 1,000 pieces. Some stock stainless colors may be possible around 100-500 pieces, and some stock ceramic styles around 200-500. Custom aluminum and plastic sports bottles are often about 3,000 pieces, while stock-body aluminum logo programs may start around 500-1,000. Enamel and specialty styles must be checked by model.

How much does promotional drinkware cost from China?

Early EXW experience bands are about US$1-3 for aluminum bottles and simple single-wall plastic sports bottles, US$4-8 for 304 stainless vacuum drinkware and some double-wall glass formats, and US$12-30 for titanium drinkware or higher-end ceramic office sets. These are not offers; quantity, construction, lid, logo, packaging and season must be requoted.

How long do samples and production take?

A decorated pre-production sample commonly takes about 7-10 days. Typical mass production is about 25-30 days after approval and material readiness. Special colors or lids may add about 10 days, and Q4 programs should be planned earlier. Final timing depends on the confirmed model, packaging and factory schedule.

Which logo method is best for a tumbler, mug or bottle?

Laser engraving is durable on many stainless steel surfaces. Screen or pad printing can be efficient for simple logos. High-temperature decals are often considered for ceramic. UV or transfer printing can carry more color but needs the right pretreatment, curing and sample testing. The final choice should be approved on the actual surface.

How do you verify a claimed 304 stainless steel cup?

Request a mill certificate tied to the production batch and traceability records. A field screening liquid can be used as an initial check, but third-party composition testing is the stronger confirmation when grade matters. A food-contact migration report does not by itself prove the steel grade.

What QC checks can be used for custom drinkware?

The plan may include leakage, coating adhesion, odor soak, filled-product drop, lid fit, opening and closing, electronic temperature-display accuracy where applicable, logo clarity, color, surface appearance and packing checks. Insulation duration and actual capacity should be added when specified rather than assumed for every order.

Which food-contact documents should buyers request?

Requirements depend on the product, material, contact parts and destination market. Check the applicant, sample, material, test items, standard, date and scope on FDA- or LFGB-related reports, and review BPA-related evidence for relevant plastic bodies, lids, straws and seals. Do not treat one report as coverage for unrelated models.

When does China sourcing make more sense than a local printer?

SourcingXpro is better suited to larger orders, custom colors or components, factory-side material and QC work, gift boxes, multi-item kits, consolidation, sea freight or DDP coordination. For a small quantity of a simple stock item with a very urgent deadline, a local printer may be more practical. Any cost advantage must be calculated for the actual order.
